Secure mobile working

As many employees now work from home at least part of the time, we would like to take this opportunity to sensitise you once again to the basic safety measures.

In general, of course, the same safety measures should be taken when working remotely as when working at the office. These are summarised in our 11 golden rules of workplace safety.

If you do not have the opportunity to work in a separate room, take special care to lock your PC against unauthorised access when you leave it, e.g. by pressing "Windows key + L". In addition, keep the windows and doors to your workplace closed when you are away from your desk.

Store printouts and external data carriers as securely as possible, e.g. in a locked roll container or a locked drawer.

If possible, close windows and doors while you are on the phone or taking part in video conferences to make it more difficult for unauthorised persons to listen in.

Pay particular attention to suspicious emails or contact from alleged colleagues via unusual and normally unused channels and chat tools.

Make absolutely sure that the operating system you are using is always up to date and that your anti-virus software is also kept up to date.

Do not store any business data unencrypted on your end device. This is particularly important if you are using a private device. Use VeraCrypt, for example, to create an encrypted container in which you store business data for the time you are working on the move. This also has the advantage that if this container is later deleted, the data it contains is securely erased and cannot be recovered by third parties. Please also remember to clean your browser's download folder of any work-related files.

Use the services provided by the university to exchange files, e.g. the network drives or bwSync&Share. Do not exchange work-related files via public services such as Google Drive, Firefox Send or similar. Also refrain from uploading files to services that are only used temporarily, such as Microsoft Teams.

Do not dispose of any business data in the form of printouts or data carriers in your household waste. These must be destroyed professionally at the university without exception.

And last but not least: Make sure you take regular breaks even when working on the move, ensure you have a good balance and stay healthy!

  • Use an up-to-date virus scanner
  • Keep the operating system and installed applications up to date
  • Install a personal firewall on the end device, which also does not allow access from the home network to the end device (setting "public network")
  • Only use encrypted protocols (e.g. HTTPS, IMAPS, ...) for communication with the university. Use the VPN of the University of Würzburg!
  • Secure the device and the storage media against theft/loss
  • If possible, use the network drives at the university
  • Make regular backups when storing data locally
  • Transport sensitive data only on encrypted data carriers (e.g. VeraCrypt)
  • Install access protection on the device so that only the user can access or log in to the device.
